Five Steps to Build Your First Process This Week

Step 1: Pick your most painful problem. What task, when done wrong, costs you the most time or money? That is your first process candidate. You are not documenting everything tonight — just one thing.

Step 2: Break it down from start to finish. Map the task stage by stage. What comes in? What happens? What should come out? Use a piece of paper if that is all you have. Canva, Miro, or even a WhatsApp voice note transcribed will work.

Step 3: Get your team involved. The people actually doing the work know it better than you think. Sit with them. Ask them what you missed. Ask them where things go wrong. When they help build the process, they own it. And owned processes get followed.

Step 4: Define what ‘done right’ looks like. Every process must have a measurable result. A delivery time. A quality standard. A cost. Without a defined outcome, you cannot know if the process is working.

Step 5: Digitise and create a ‘doer and checker’ structure. Move it into a tool — Google Workspace, Notion, Trello, Zoho, whatever your team will actually use. Add a checker role wherever errors are costly. Not because you don’t trust people — but because even the best people make mistakes, and a checker catches them before the customer does.


One documented process this week is worth more than a whole year of planning to build better systems someday.

You do not need a consultant. You do not need to document everything at once. Pick one task. Write it down. Hand it over. See what happens.

What you will find is — it saves time. It reduces errors. It takes one thing off your plate. And once you feel that — you will want to build the next one.
